Owner Statement Template and Review Checklist
What a clear monthly owner statement should include — section by section — plus a pre-send review checklist that catches the errors owners notice first.
Owner Statement Template and Review Checklist
From OpsQuin · opsquin.com/resources
Owners judge your whole operation by one document: the monthly statement. A statement that's late, confusing, or wrong generates more phone calls than almost anything else — and more owner churn. Most PM software can generate a statement, but the structure, the notes, and the review before it goes out are up to you.
Use this template as the standard for what every statement includes, and run the review checklist before anything is sent.
The statement, section by section
1. Header
- Owner name and mailing address
- Property address (or list of properties, for multi-property owners)
- Statement period (for example, September 1–30)
- Statement date and your company's contact details
2. Summary
A few lines an owner can read in ten seconds:
- Beginning balance for the period
- Total income collected
- Total expenses paid
- Management fees
- Reserve held back, if any
- Owner distribution for this period
- Ending balance
3. Income detail
- Rent collected, by unit and tenant
- Late fees, pet rent, and other charges collected
- Any partial payments, clearly labeled as partial
- Any rent still outstanding at period end (as a note, not as income)
4. Expense detail
- Each expense with the date, vendor, a plain-language description, and the amount
- Maintenance expenses linked to their work order number
- Recurring expenses (insurance, HOA dues, utilities) labeled as recurring
5. Fees
- Management fee, with how it was calculated (for example, 8% of collected rent)
- Any leasing, renewal, or other fees, each on its own line
6. Reserve and distribution
- Reserve amount held and the target reserve balance
- Distribution amount, method, and date
7. Notes
The section owners read most, and the one most often left blank. Two or three short sentences are enough:
- Vacancies, turnovers, or new leases this period
- Significant repairs completed or upcoming
- Anything the owner needs to decide or approve
Pre-send review checklist
Run through this before every statement goes out:
- ☐ Every rent payment received this period appears on the statement
- ☐ Bank deposits for the period reconcile to the income shown
- ☐ Every expense has a matching invoice or receipt on file
- ☐ Every maintenance expense matches a completed work order
- ☐ No expense is posted to the wrong property or owner
- ☐ Management fee calculation checked against the management agreement
- ☐ Reserve held matches the owner's agreed reserve
- ☐ Beginning balance matches last period's ending balance
- ☐ Unusual items — large repairs, missed rent, a vacancy — are explained in the notes
- ☐ The statement is sent on the same day it was sent last month
Keep the schedule boring
The most effective thing you can do for owner satisfaction is to send statements on the same day every month, in the same format, with no surprises. An owner who knows their statement arrives on the 10th — and who reads a note explaining anything unusual — rarely calls to ask what happened.
